How to Bulk Import Events from a Spreadsheet to Your Calendar

March 5, 20264 min read

When You Need to Import Many Events at Once

Sometimes you don't have one or two events to add โ€” you have dozens or even hundreds. Shift schedules, sports fixtures, team meetings, training sessions, or a full semester of classes. When events live in a spreadsheet, manually creating each one in your calendar is simply not an option.

The solution is to convert your spreadsheet into an ICS file and import everything at once. Here's how.

Common Use Cases

  • Shift schedules: Managers distribute weekly or monthly rosters in Excel. Workers need those shifts in their personal calendars.
  • Team events: A project manager maintains a spreadsheet of milestones, meetings, and deadlines. The whole team needs them in their calendars.
  • Sports fixtures: League schedules with dates, times, opponents, and venues for an entire season.
  • Academic timetables: Course schedules listing lectures, labs, and tutorials with rooms and instructors.
  • Marketing calendars: Campaign launch dates, content deadlines, and social media schedules.
  • Recurring appointments: A list of client meetings, maintenance windows, or regular check-ins.

Step 1: Prepare Your Spreadsheet

Before converting, make sure your spreadsheet has clear columns for the key event fields. At a minimum, you need:

  • Event title โ€” what the event is called.
  • Start date โ€” when it begins (e.g., 2026-04-15).
  • Start time โ€” the start time (e.g., 09:00 or 9:00 AM).

Optional but recommended columns:

  • End date โ€” if different from the start date.
  • End time โ€” when the event ends.
  • Location โ€” where the event takes place.
  • Description โ€” additional details or notes.

Use consistent date and time formats throughout the spreadsheet. The converter handles most formats (ISO 8601, US, European), but consistency helps avoid ambiguity.

Step 2: Export to CSV

The Text2ICS CSV converter works with CSV (comma-separated values) files. Here's how to export from common spreadsheet apps:

From Google Sheets

  1. Open your spreadsheet in Google Sheets.
  2. Go to File > Download > Comma-separated values (.csv).
  3. The file will download to your computer.

From Microsoft Excel

  1. Open your spreadsheet in Excel.
  2. Go to File > Save As.
  3. Choose CSV (Comma delimited) (*.csv) as the file type.
  4. Click Save.

From Apple Numbers

  1. Open your spreadsheet in Numbers.
  2. Go to File > Export To > CSV.
  3. Click Next, choose a save location, and click Export.

Step 3: Convert CSV to ICS

  1. Go to the CSV to ICS converter.
  2. Upload your CSV file or paste the CSV content directly.
  3. The converter will auto-detect your columns and map them to calendar fields.
  4. Review the column mapping. Adjust if the auto-detection didn't get it right.
  5. Preview the extracted events to make sure everything looks correct.
  6. Click Download ICS to generate the calendar file.

Step 4: Import into Your Calendar

Once you have the .ics file, import it into your calendar app:

All events from the spreadsheet will appear in your calendar at once.

Column Format Tips

  • Date formats: Use YYYY-MM-DD (e.g., 2026-04-15) for best compatibility. The converter also understands MM/DD/YYYY and DD/MM/YYYY, but ISO format avoids any ambiguity.
  • Time formats: Both 24-hour (14:30) and 12-hour (2:30 PM) formats work. Be consistent within your spreadsheet.
  • Combined date-time: You can combine date and time into a single column (e.g., "2026-04-15 09:00") or keep them separate. Both approaches work.
  • All-day events: If an event has a date but no time, it will be treated as an all-day event.
  • Header row: Include a header row with descriptive column names like "Title", "Date", "Start Time", "Location". This helps the auto-mapper assign fields correctly.

What If My Data Isn't in a Spreadsheet?

If your events are in a different format, Text2ICS has you covered:

  • Text to ICS โ€” paste plain text, meeting notes, or emails.
  • PDF to ICS โ€” upload schedules and agendas in PDF format.
  • Image to Calendar โ€” snap a photo of a printed schedule.
