How to Import an ICS File on iPhone
Importing ICS Files on Your iPhone
ICS files are the universal format for calendar events, and your iPhone handles them natively. Whether you received an event by email, downloaded a schedule from a website, or created events with Text2ICS, there are several ways to get them into your iPhone's calendar.
Method 1: Email Attachment
This is the most common way people receive ICS files, and it's the easiest method on iPhone.
- Open the Mail app and find the email with the .ics attachment.
- Tap the .ics file attachment. It may appear inline or as a downloadable file at the bottom of the email.
- The Calendar app will open and display a preview of the event(s).
- Tap Add to Calendar.
- Choose which calendar to add the event to (if you have multiple calendars).
- Tap Done.
If you use a third-party email app (Gmail, Outlook, Spark), the process is similar. Tap the attachment and iOS should offer to open it in the Calendar app.
Method 2: AirDrop
If someone nearby has the ICS file on their Mac, iPhone, or iPad, they can AirDrop it to you.
- Make sure AirDrop is enabled on your iPhone (swipe down from the top-right to open Control Centre, then long-press the connectivity panel and tap AirDrop).
- Accept the incoming AirDrop transfer.
- The Calendar app will open with a preview of the event.
- Tap Add to Calendar and select a calendar.
Method 3: Files App
If the ICS file is saved in your Files app (e.g., downloaded from a website or synced via iCloud Drive), you can open it directly.
- Open the Files app on your iPhone.
- Navigate to the folder containing the .ics file.
- Tap the file. A preview of the event will appear.
- Tap Add to Calendar.
- Select the destination calendar and tap Done.
Method 4: Safari Download
When you download an ICS file from a website using Safari on your iPhone:
- Tap the download link on the website. Safari will show a download prompt.
- Tap Download.
- Tap the downloads icon (the blue arrow) in Safari's toolbar.
- Tap the downloaded .ics file.
- The Calendar app will open with a preview. Tap Add to Calendar.
Alternatively, after downloading, you can find the file in the Files app under the Downloads folder and open it from there.
Method 5: iCloud Calendar on the Web
If you prefer to work on a computer, you can import the ICS file via iCloud Calendar on the web:
- Open iCloud Calendar in your browser.
- Click the gear icon and select Import.
- Choose your .ics file and a destination calendar.
- Click Import.
As long as iCloud Calendar sync is enabled on your iPhone (Settings > [Your Name] > iCloud > Calendar), the events will appear on your phone automatically.
Troubleshooting
The ICS File Won't Open
- Make sure the file has a
.icsextension. If it was renamed (e.g., to .txt), the Calendar app won't recognise it. - Try opening the file from a different app โ for example, use the Files app instead of Safari.
- If the file was sent via a messaging app (WhatsApp, Telegram), save it to Files first, then open it from there.
Events Are Missing or Incomplete
- If the ICS file contains multiple events, all of them should import. If some are missing, the file may have formatting issues. Use the ICS Viewer to inspect the file.
- Check that the events aren't in the past โ by default, your calendar view may not show past events prominently.
Events Show the Wrong Timezone
- Go to Settings > General > Date & Time and make sure Set Automatically is enabled.
- In the Calendar app, go to Settings > Calendar > Time Zone Override and check that it's set correctly or disabled.
- The ICS file itself may specify a timezone. If it doesn't, the iPhone uses your current timezone. This can cause issues if the event was created in a different timezone.
Events Don't Sync to Other Devices
- Events imported into the local "On My iPhone" calendar won't sync. To sync across devices, make sure you add events to an iCloud, Google, or Exchange calendar.
- Verify that calendar sync is enabled: Settings > [Your Name] > iCloud > Show All > Calendar (toggle on).
How to Create ICS Files with Text2ICS
Need to create an ICS file to import on your iPhone? Text2ICS makes it easy. Just paste any text containing event details โ meeting notes, email threads, schedules, or even a quick description like "Dentist appointment next Tuesday at 2pm" โ and the AI will generate a downloadable .ics file.
You can also use:
- PDF to ICS converter for schedule documents.
- CSV to ICS converter for spreadsheets.
- Image to Calendar converter for photos of schedules.
After creating the ICS file, download it on your iPhone or email it to yourself, then use any of the methods above to import it into your calendar.
Quick Reference
Here's a summary of the fastest way to import an ICS file on iPhone:
- Get the .ics file (via email, download, AirDrop, or create one with Text2ICS).
- Tap the file to open it.
- Tap Add to Calendar.
